These policies are subject to change at any time without prior notice. The most current version is always available at birchwoodperformingarts.com/tuition-and-policies. Enrollment constitutes agreement to the policies in effect at the time of each billing cycle.

All rates listed below are current as of June 13, 2026. A 3% tuition increase goes into effect each September 1st and will be reflected in this section at that time.

What does your private lesson investment include?
Private lessons on days that Birchwood Music Company is open.
Flexible scheduling up to 24 hours prior to your lesson time.

What does your Music Together® investment include?
Weekly 45 minute classes during either an 8, 10, or 12 week session.

Experience four different song collections throughout the course of the year.
Access to educational content in the Family Music Zone and Music Together app.
Instruments to take home and make music with the whole family outside of class time.
What does your Musical Theatre Class & Show investment include?
Weekly classes
Vocal technique, harmonization, and music reading instruction
Dance training: stretching/strengthening, technique, and choreography
Acting training: improvisation, scene work, and character building
Performances in Birchwood Performing Arts shows with 2 complimentary tickets per student per show
Important: Casting Information for Musical Theatre Class Shows
All casting decisions are made solely at the discretion of the director and are final. The following apply without exception:
Being a current or returning Birchwood student does not guarantee priority casting in any production.
Not receiving the role you wanted and/or disagreement with a casting decision is not grounds for a refund or credit of any kind.
Students who withdraw from a class after receiving casting results are subject to the standard Musical Theatre cancellation policy below. No exceptions.
Summer Private Lessons
Lessons will continue over the summer. If you will be gone for an extended period of time we can either create a custom lesson package for you or you can put down a $300 deposit per student to secure your spot for the fall. If you do not take lessons over the summer or put down a deposit we cannot guarantee you a spot in the fall.
We will be closed the following dates.
Independence Day - July 4, 2026
Labor Day - September 7, 2026
Thanksgiving Break - November 23-27, 2026
Winter Break - December 21-January 3, 2027
Spring Break - March 15-19, 2027
Memorial Day - May 31, 2027
Independence Day - July 4, 2027
If your teacher is available to teach during these closures we will send you an email letting you know that there are lesson slots available.
Private Lesson Cancellation & Reschedule Policy
You may cancel or reschedule your lesson for any reason up to 24 hours before your lesson time. This must be done by you via Acuity — find your confirmation email or log into your account.
We cannot guarantee available slots for rescheduling. Availability depends entirely on your instructor's schedule.
If you cancel or fail to appear within 24 hours of your lesson, no make-up lesson, refund, or credit will be issued — for any reason.
Upon request prior to your scheduled time, we will email you activities to work on.
All lesson subscription cancellations must be submitted through your Acuity account. We do not issue refunds for subscriptions that remain active because a cancellation was not completed through the portal. We cannot process cancellations submitted by email or text.
Music Together® Cancellation & Reschedule Policy
You may cancel your enrollment at any time by emailing info@birchwoodmusic.com or texting (512) 641-3653.
To reschedule to another class due to illness or another reason, at least 24 hours notice is required. Reschedules are subject to available space and cannot be guaranteed.
We do not offer refunds for any reason. If you need to cancel more than 4 classes in a session, we will offer a credit toward the next session upon request.
Musical Theatre Cancellation & Reschedule Policy
Refund eligibility is based strictly on when written notice of cancellation is received:
4+ weeks before audition due date - 100%
3 weeks before audition due date - 75%
2 weeks before audition due date - 50%
1 week before audition due date - 25%
On or after the audition due date - No refund or credit for any reason
There are no exceptions to this schedule. Dissatisfaction with casting, role assignment, or any production decision does not qualify for a refund at any point.
All conflicts must be communicated by the callback date. Last-minute cancellations are not accepted except for illness, emergency or unavoidable school conflict.
If you are ill, notify us as soon as possible and we will provide any information you missed.
Teacher Absences
If your teacher needs to miss one of your scheduled private lessons you will be offered either a rescheduled lesson or a refund for this one lesson depending on the circumstance of the absence.
Payment
All classes are billed on a monthly basis on the date of your first subscription payment.
There will be a yearly 3% tuition increase to combat inflation that goes into effect on September 1st.

We can accept text and phone call through our business number. Text is preferred and we will reply during business hours.

Illness
If you are taking in-person lessons or classes and you or a family member are sick please do NOT come to in-person lessons.
We reserve the right to turn you away at your lesson or class if you arrive sick and it will count as a no call/no show and you will not have the option to reschedule.
If you are ill, please utilize one of the following options
Reschedule your lesson or class up to 24 hours prior to your scheduled lesson time. Use this time to rest!
If you take private lessons and are only mildly ill but feel well enough to sing, play piano, or do some music theory, please text (512) 641-3653 at least 6 hours prior to your lesson to set up a Zoom call at your usual lesson time that day.
If you fall ill within 24 hours of your lesson or class time and to not feel well enough to hop on a Zoom call, please send us a text or email letting us know that you’d like an asynchronous lesson sent over and we will complete that during your regularly scheduled lesson time.
Lessons cancelled for any reason within the 24 hours prior to your lesson will be considered a no call/no show and will not be rescheduled.
Tech Issues
Some days we may have tech issues with Zoom or Google Meet for any number of reasons. We will establish a backup lesson platform together and if that fails. to work, a video lesson to be done asynchronously will be substituted.
Tardiness
If you are running late your lesson will not be extended past the regular end time.
Please text the business number as soon as you know you will be late.
Inclement Weather
In the case of inclement weather, private lessons will be taught online via Zoom or Google Meet at your regular lesson time.
In the case of inclement weather classes will be rescheduled to another date.
Discontinuing Lessons
We ask for 30 days written notice before discontinuing lessons or classes, as your spot is reserved for the full school year (September–May).
There are no refunds or credits for missed or cancelled private lessons.
If you discontinue Music Together® with 30 days notice, we will apply a credit for remaining classes to the next semester.
If you discontinue Musical Theatre classes & shows after the audition due date, no refund or credit will be issued for any reason.
